Data Requests (GDPR)

How to exercise your data protection rights, what we will do, and how long it takes. The Privacy Policy explains what we hold and why; this document is the procedure.

Who to address a request to

TradinSolutions is the trading name of a sole trader — an eenmanszaak under Dutch law, which means an individual rather than an incorporated company — registered with the Netherlands Chamber of Commerce (Kamer van Koophandel) under KvK number 42152786, at Tonkensstraat 55, 9723 ZV Groningen, Netherlands. We are the controller of your personal data, so a request under this document goes to us and to nobody else. For anything ordinary, write to contact@tradinsolutions.com or open a ticket at the support desk in your dashboard. Your rights

Under the EU General Data Protection Regulation you have the right to be told what personal data we hold about you and to have a copy of it; to have inaccurate data corrected and incomplete data completed; to have your data erased; to have processing restricted while a dispute over it is resolved; to receive the data you gave us in a portable, machine-readable form; to object to processing based on our legitimate interest; and to withdraw a consent you have given, at any time, without affecting what was lawful before you withdrew it.

Access and portability

Ask through the support desk from the account concerned and we will compile a copy of the personal data we hold and send it to you in a common machine-readable format. This is not yet a self-service export inside the application; a person compiles it, which is why it takes a few days rather than seconds. Tell us if you want the whole record or only a part of it, such as your journal.

Correction

Most of what we hold about you is editable in the application — your name, your email address, your notification preferences, your journal and your account configuration. Anything you cannot reach from Settings, ask us and we will correct it.

Erasure

Start from Settings and close your account. Doing that stops every copier instance immediately, revokes your licence on every terminal, and schedules the erasure of your journal, rulebook and goals after a thirty-day grace window. The window is deliberate: it is there so a closure made by mistake, in anger or under pressure from someone else can be reversed. You can reverse it yourself from Settings until it closes.

What survives an erasure, and why

Invoices, payment records and the accounting entries behind them are kept for the period Dutch tax and accounting law requires, because the law obliges us to keep them and a data subject's erasure right does not override a legal obligation. Security and audit logs are kept for their retention period where we need them to evidence what happened on an account. Anything held by Stripe under its own controller obligations is retained by Stripe on its own terms.

Objection, restriction and withdrawing consent

Marketing email can be stopped from the unsubscribe link in any message we send, immediately and without contacting us. To object to processing based on legitimate interest, or to ask us to restrict processing while we look into something, write to the support desk and tell us which processing you mean and why.

How to make a request

Open a ticket from the support desk while signed in to the account the request concerns. Signing in is how we verify you, which is why we prefer it; where you cannot sign in, write to legal@tradinsolutions.com or to TradinSolutions, Tonkensstraat 55, 9723 ZV Groningen, Netherlands, and we will ask for enough information to be satisfied you are who you say you are, and we ask for no more than that. A request is valid however you word it — you do not have to quote this document or name the right you are using.

How long it takes

We answer within one month of receiving a request we can verify. Where a request is complex, or where you have made several, we may extend that by up to two further months and we will tell you inside the first month if we do. Requests are free unless one is manifestly unfounded or excessive, in which case we will explain the position before charging anything.

If you are not satisfied

Tell us first — most of what goes wrong is quicker to fix directly. You also have the right to complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens, or to the supervisory authority in the country where you live or work, and to seek a judicial remedy.
